What Must Be on a UK Freelance Invoice

For invoices to be legally valid and to get you paid without queries, include:

  • A unique invoice number — sequential, so HMRC and your accounts can track them
  • Your name or business name and address
  • Your customer's name and address
  • Invoice date and payment due date
  • A clear description of the work or goods supplied
  • The amount charged, broken down by item if there's more than one
  • VAT details — if you're VAT registered, your VAT number and the VAT amount must be shown separately
  • Payment details — bank account or payment method so the customer knows how to pay

What must be included on a UK freelance invoice?

A unique invoice number, your business name and address, the customer's name and address, invoice date, due date, a description of the work, the amount charged, your VAT number and VAT amount if registered, and your payment details.

Do freelancers need to charge VAT?

Only if you're VAT registered, which is required once your taxable turnover exceeds the current VAT threshold (check gov.uk for the current figure) or optional below that threshold. If not VAT registered, do not show VAT on your invoices.
